10, 20, 30 or 50 guests: choosing the right forest clearing format

Why the number on the invitation changes the whole day

When choosing a venue, it is easy to think only about capacity: if NAMETY hosts events for up to 50 guests, any smaller group will simply need fewer chairs. In practice, the number changes not just the seating but the booking package itself. Ten, twenty, thirty and fifty guests move around, get to know one another, listen to speeches and use the space differently.

NAMETY’s Forest Clearing at VDNH in Kyiv offers two clearly defined options. For events with up to 30 guests, you book the daytime “Forest Clearing + Male Lito” package.

For 31 to 50 guests, exclusive hire of the whole of NAMETY is required: the complex closes for your group alone, and the package includes all five cabins and one “sauna + two hot tubs” session lasting up to two hours. Overnight stays are limited to the cabins’ capacity, meaning up to ten people.

Both packages are booked by the day, not by the hour. Access to the grounds is from 10:00 to 23:00, with the main event running from 12:00 to 22:00. Exact furniture layouts, additional services and availability for your chosen date must be agreed with NAMETY and your suppliers.

10 guests: dinner in the forest with your closest people

For ten guests, the clearing feels at its most personal. Everyone can see one another, hear every story and speak without a microphone. This suits an anniversary, birthday, engagement, family dinner or reunion of friends who have not been together for a long time.

What works best

One table and one central moment: perhaps a shared toast, an exchange of letters, a small ceremony or a dinner that turns into a long conversation. There is no need to invent a new activity every twenty minutes. With a group this size, even one missing guest noticeably changes the mood, so personal attention matters more than spectacle.

Adding a sauna, hot tub and overnight stay

Ten is the maximum total number of overnight guests in NAMETY’s five cabins, with two people in each. However, the clearing package for ten guests includes only Male Lito. Other cabins must be booked separately, subject to availability; an event for ten does not automatically include an overnight stay for the entire group.

A sauna or hot tub can provide a separate continuation for some of the group if the required time is available and booked. Even for ten guests, capacity must be agreed rather than assuming everyone can use the facilities at once.

What to avoid

A host who talks more than the guests; excessively loud sound; decorations that visually separate the table from the forest. The value here lies in closeness.

20 guests: one circle, with room to move

Twenty people can still get to know one another over the course of the day. At the same time, several conversations will take place around the table, and guests naturally move between groups.

This is a comfortable size for an intimate wedding, family day, brunch, baby shower or gathering of two families who are friends. It is large enough to feel like an occasion, without needing a complicated programme of performances.

What works best

One long table, an unhurried arrival period, two or three shared moments and pauses without announcements. If guests come from different circles, help them find a starting point for conversation: photographs, cards with stories about the person being celebrated or a shared guestbook work more gently than compulsory games.

A sauna and hot tub without a queue

For twenty people, it is especially important not to write “after dinner, we are all going to the sauna” in the invitation. Find out who is interested in advance, book an available time separately and agree capacity with NAMETY. While a small group uses the sauna at VDNH or a hot tub, the event in the clearing continues for everyone else.

What to avoid

Long pauses for technical arrangements. They can pass unnoticed in a large crowd, but twenty people will quickly feel that they do not know what is happening next.

30 guests: a rhythm, without a rigid timetable

Thirty guests is the point at which a homely feel can still be maintained, but no longer happens by itself. Someone will arrive late, some people will not know one another, several conversations will form around the table, and every move will take longer.

This scale suits a birthday, small wedding, team gathering or family celebration with friends. It brings energy and variety when the event has a clear structure.

What works best

Set four anchors for the day: the end of arrivals, a shared opening, the main meal and the evening finish. Leave free time between them. Appoint one person for suppliers and guests to contact. Do not give this role to the birthday guest or the wedding couple.

For thirty guests, it is worth agreeing the following in more detail:

  • how people will arrive and find the clearing;
  • when and how food will be served;
  • where speeches and shared remarks will take place;
  • how loud the music should be;
  • who will announce any change of plan due to the weather;
  • how guests will get home in the evening.

Overnight stays for a smaller group

For an event with 30 people, the clearing package includes only Male Lito. Other cabins for two can be booked separately, subject to availability; even if all five are available, no more than ten people can stay overnight. Make this a clear part of the plan for guests: who is staying, who is going home, and when the main event ends.

What to avoid

Unclear responsibilities. If “someone is probably remembering” the music, cake, sauna and hot tub, all these questions will land on one overloaded person on the day.

50 guests: the forest venue at full capacity

An event for fifty guests is possible only with exclusive hire of the whole of NAMETY. The complex closes for your group alone; the package includes the clearing, all five cabins and overnight stays within their capacity. This is more than an intimate dinner multiplied by five: it is a full-scale event whose guests’ experience depends on preparation they never see.

It is particularly important here to separate attractive images from promises. A wide shot of the trees conveys the atmosphere but does not answer questions about food, sound, electricity, weather, the team’s arrival or the finish. All of these must be agreed specifically with NAMETY and the relevant suppliers for your chosen date.

What works best

Clear coordination without an excessive number of performances. Create a few obvious points of focus: welcoming guests, a shared meal, a place for speeches, a quieter area for conversation, and the finale. People do not need constant instructions about where to stand, but they should understand what is happening.

Prepare a separate schedule for suppliers. It can be much more precise than the programme for guests. That is how the event can feel effortless from the outside.

Sauna and hot tubs alongside the event or afterwards

Exclusive hire includes one “sauna + two hot tubs” session lasting up to two hours. This does not mean simultaneous access for fifty people: agree capacity, participants and the arrangements in advance. Any extra time or continuation the following day requires separate confirmation from NAMETY.

What to avoid

Assuming that “we will sort it out when we get there”. At maximum capacity, even a small uncertainty becomes fifty questions.

Do not shape the guest list around a round number

If you really want to see 17 people, do not add another three just to make a round number. But if you have 34 important guests, bear in mind that moving from 30 to 31 changes the whole package and its cost: exclusive hire of NAMETY is then required instead of the clearing with Male Lito. The numbers 10, 20 and 50 in this article are guides; the 30/31 threshold is an actual booking condition.

When you first speak to NAMETY, explain not only the expected number but also who is coming: children, older guests, people with particular requirements, those interested in the sauna or hot tub, and anyone planning to stay overnight. This is how you find an arrangement that suits your people.

A final check before you decide

Ask yourself five questions:

  1. Do we want one shared conversation or several groups talking at once?
  2. Do we need a ceremony, speeches or another moment that everyone should see?
  3. How many people actually want to use the sauna or hot tub, and at what time?
  4. Which guests, up to a maximum of ten, will stay in the cabins, and which cabins are included in your package or available separately?
  5. Who is responsible for the weather plan, suppliers and the finish?

With clear answers, the guest count stops being abstract. You can see your own day beneath the trees, rather than just a number.

Planning an event? Send the NAMETY team your expected guest numbers and a short description of the occasion. For up to 30 guests, we will discuss the clearing with Male Lito and separate additions in detail; for 31 to 50, we will discuss exclusive hire, overnight stays within the capacity of the five cabins, and the included sauna and hot tub session.
